Because the vast majority of EDI sales professionals are unaware of the differences between managed EDI solutions from one vendor to the next, they will assume that they can handle whatever your unique situation is. There are four primary managed EDI service models in existence today. The one that’s right for you depends entirely on your needs. The more complicated those needs, the more experienced and evolved methodology you will require.

Following is an overview of the different EDI service models in today’s market place.

Types of Managed EDI Solutions

Strictly Remote

In this model, the provider simply uses its human resources to log into your systems and conduct all EDI tasks via a remote connection. You will still be required to maintain all software, hardware and communications. It can be argued that this is not a managed EDI solution at all, but simply staff augmentation.

Purchased EDI Translation Software Support

With this approach, you purchase or license the EDI software from the vendor, while the vendor hosts and manages the EDI processes using their hardware and resources. The downside here is that the customer does not experience the cost savings and flexibility of not having to own software and hardware. The primary risk with this methodology is that, over time, it becomes increasingly more difficult for the software provider to service multiple companies on multiple independent servers and iterations of proprietary software.

Hosted / Satellite

It is difficult for the buyer to distinguish this methodology from the real thing (i.e., Hosted/Integrated) because EDI vendors market and describe this as a completely hosted and integrated solution. It absolutely is not. EDI vendors usually make this mistake because of their lack of experience and not fully understanding where their company is in the evolution of managed EDI solutions, shared infrastructure and management.

A hosted/satellite operation is one in which the provider owns and maintains all the tools, technology and resources required to provide managed EDI services, including the EDI translation software and the Value Added Network. All the infrastructure, software, communications and sometimes people are disconnected from a centrally synchronized process, allowing for the development and management of all customers simultaneously. As a result, each customer is forced to be serviced and managed independently. This independence may sound like, and often is presented as, a more customer-focused approach than one where all customers share services. The fact is that it prevents the provider from servicing customers accurately and consistently over time at a high standard and at repeatable service levels.

Hosted / Integrated

The hosted/integrated managed EDI solution represents the most evolved deployment and service methodology needed for the unique requirements of a reliable, economical and serviceable managed EDI solution for the large enterprise. Not only are all the hardware, software, network and resources owned and managed by the EDI provider, they are all synchronized and managed internally as one completely shared process.

Starting with the Value Added Network, you will find a VAN that goes well beyond simply interrogating sender/receiver identifications. Simply determining the origination and destination of an EDI document does not provide the flexibility and customization more complex EDI environments require. The fact is that roughly 75 percent of all EDI is the same for everyone. It is the other 25 percent, unique to each customer, that will make or break your venture into managed EDI services. Your goal is to have your managed EDI service provider handle 100 percent of your needs.

In essence, the hosted/integrated solution allows for far greater customer service, control, task turnaround and cost containment. Simply put, if your managed EDI service provider has not obtained this level of sophistication, you will be subjected to their growing pains as they evolve and mature into this deployment and service methodology.

A high-quality managed EDI service provider will provide redundant systems, software, processes, communication protocols, ISP’s, etc. In addition, not only should the Value Added Network be secure, but the internal systems hosting your maps and processes should all be secure as well. As you are undoubtedly aware, one of the most critical and unavoidable requirements of moving to a managed EDI solution is the need to transition all internal EDI maps and processes over to the selected provider’s hosted environment. Remember, 75 percent of the process is straightforward, quantifiable and easily tested.

At the risk of stating the obvious, the cost of conversion and the ongoing cost to manage your EDI needs are important elements but should not be the sole criteria for selection. Because managed EDI services are a relatively new offering for many providers, you may find inconsistent pricing models and proposals.
